Interlibrary Loan Policy & Ordering
Students
Each student is allotted 2 course-related Interlibrary
Loans per course/per semester to a maximum of 10 items. (a renewal is counted as a loan). Additional Interlibrary
loans are available on a cost-recovery basis ($7-$15). No charges apply if
loans are obtained free of cost. (eg. Public Libraries)
Faculty & Staff
Please arrange your Interlibrary Loan requirements through
the Library Reference Desk (250-489-8292 or
library@cotr.bc.ca ).
Community Users
Interlibrary Loans are available to Community Users on a
cost-recovery basis ($7-$15). No charges apply if loans are

Ordering Journal Articles
Most journal articles may be ordered on-line.
- On our library homepage, click on <Journal
& magazine articles or statistics >.
- On the next screen select the appropriate index for
your search (eg. CPI.Q, EBSCOhost, Wilson Applied Science, etc.)
- Enter your search as required by the index selected.
- The next screen will show how many items were found by your
search.
- When you find an interesting article click on the article title to view
the full citation.
- Check the library holdings
to see if we have a copy at the College of the Rockies.
- If the college library does not own this item click on the
icon to the
left of the citation to find out where it is available.
- This screen will tell you if the full text for this
article is available online. If full text is not available click on
to find if you can order the article from
another library.
- When a list of libraries displays click on
to check the holdings of
each library to identify a library that has the issue you are looking for.
- Once you have identified a library which has the issue you require click
on the

- Complete the online Interlibrary Loan form. You need to fill in Last
Name, First Name, Library ID (this is your student number), Email, Phone,
and Not Required After. Once you have filled this information in
click on the
button.
- On the next screen you will be prompted to
. Most articles arrive within
5 working days but if there is a problem at the supplying library can take
longer.
For articles that cannot be found using the online indexes you can either
check
Outlook and place a request (see Ordering Books
for general directions) or contact the COTR Reference Desk at
library@cotr.bc.ca or by phoning 250-489-8292 for help.
Ordering Books
Books may be ordered from other B.C. college, institute and public
libraries using the Outlook online system.
- On our library homepage click on
Outlook.
- Before searching put a tick in the BC Libraries box.

- Using either the basic or the advanced search locate the item you wish
to borrow. The advanced search gives you more options to narrow your
search..
- Enter your search and a result list will display.

- Start with Outlook Online and click on the corresponding number
under the results column to see an
actual list of titles.
- To get more information on an item and find out who owns a copy of it
click on the highlighted title. When possible, we prefer to order from
Public Libraries as there is no charge and the loan will not be counted
against your allotment.

- When you have located the record you wish to order from,
select

- Fill in the online order form. Username should be entered
<last name, first name>, a password (your student number works
here - 000-XXXX), a Need By Date (this is when we stop looking for the
item), and either your telephone number, fax number or email so we can
contact you when the item arrives.
For magazine and journal articles you will also need to fill out the Article
Information section of the request form.
- When you are done click

For books that cannot be found using the Outlook database, please contact the
COTR Reference Desk at library@cotr.bc.ca
or by phoning 250-489-8292.
Tips
- Check our Library Catalogue to ensure that we do not hold
the item(s) you are requesting. If we own the item, but it is currently on loan, you may
place a hold. (we will not accept Interlibrary Loan requests for these items) Items held
at other COTR campuses may be requested by sending an email to
library@cotr.bc.ca
Include your name and contact information and the item citation. Include
locations, call numbers and the database where you found the item.
- Please ensure that citations are correct, missing
information can result in unnecessary
delays.
- ILL requests are processed within one working day of
receipt. Remember many lending libraries receive large volumes of requests and usually
ship via mail, so please allow 5 days to 2 weeks for delivery of books,
journal articles may be sent electronically. Note:
Videos must be requested for a specific date and should not be
ordered on Outlook; please contact the COTR Reference Desk for a
video booking form.
